Use case: proposal follow-up

Sales follow up software that reacts to how clients read your proposal

Set the rules once: a reminder when the proposal is still unopened after a day, a different message when the client has spent five minutes on it. Sellizer sends each email from your own mailbox and stops when you mark the deal as won or lost.

  • Write your follow-up messages
  • Pick the scenario when you send
  • Sellizer sends them at the right moment

Why follow-ups after a proposal go wrong

Most proposal follow-ups are sent on a guess: three days later, because that is the habit. The client may not have opened the file yet, or may be reading it at that very moment.

You write "just checking in" to someone who never opened the proposal

A scenario can send a short reminder only when the proposal is still unopened, for example after 24 hours.

You chase the client who is reading and miss the one who went quiet

Each message is tied to a reading condition, so the client who spent five minutes on the proposal gets a different email than the one who skimmed it.

Follow-ups depend on your memory and your calendar

Once the scenario is on, Sellizer sends the emails for up to 365 days, or until you stop it or close the deal.

  • Follow-up scenarios built on reading conditions

Write the messages and choose the condition for each one: the proposal was not opened within a set time, the client spent more than a set number of minutes on it, or opened it again. The emails go out from the Gmail, Outlook or other mailbox you connect to Sellizer.

  • Know when to pick up the phone instead

Sometimes the next step is a phone call. You get a text message on the first open and an email on every open after that, so you can call while the proposal is still on the client's screen.

Priority ranks clients by what they are doing with your proposals right now. Engagement keeps the highest interest a proposal ever reached, so a client who studied it last week does not get lost under today's new sends.

Three follow-up scenarios to start with

Examples from the Sellizer help center. Change the times and the wording to fit your sales cycle.

Not opened

No open after 24 hours

A short note asking whether the proposal arrived, with the link again. It may have landed in a spam folder or a busy inbox.

Read with care

More than 5 minutes on the proposal

The client has gone through the details. Offer a short call to answer questions about scope or price.

Coming back

Opened for the third time

Repeated opens can mean the proposal is being discussed internally. Ask who else should get the answers.

How to set it up in Sellizer

Step 01

Connect your mailbox

Connect a Google or Microsoft account, or any mailbox by its server settings. Follow-ups are sent from that address.

Step 02

Build a scenario

In Automation, Follow-ups, create a scenario: the messages, the conditions and the order. You can set one as the default.

Step 03

Turn it on when sending

Tick the follow-up option under the message to the recipient and pick the scenario. You can stop it for a single proposal at any time.

What this automation does not do

Sellizer follow-ups belong to a proposal you have already sent. They are not a cold email sequencer for prospects who have never heard from you, and they do not make calls or send LinkedIn messages. A scenario stops when its conditions are met, after 365 days, when you stop it in the proposal list or when you mark the proposal as won or lost. If the client replies by email, mark the proposal or stop the scenario so the next message does not go out.

Who uses proposal follow-ups

  • Salespeople who send many proposals a week and cannot track each one by hand
  • Sales managers who want every proposal followed up in the same way across the team
  • Agencies and service companies whose proposals sit with the client for days before a decision
  • Business owners who sell on their own and send proposals between other work

Proposal follow-up: questions

When should you follow up after sending a proposal?

There is no single right number of days. A better rule is to follow the client's behavior: if the proposal is still unopened after a day, check that it arrived; if the client has read it carefully, offer a call while the details are fresh; if they keep coming back to it, ask who else is involved in the decision. Sellizer can send each of these messages automatically when the condition is met.

How do I follow up on the status of a proposal?

Check first whether the client has opened it. With a tracked proposal you see the opens, the reading time and the return visits, so your message can refer to where the client is. Ask one concrete question, for example about the scope or the start date, instead of asking whether they had a chance to look.

What does sales follow up software do?

It reminds you or the client about the next step, so deals do not stall because someone forgot. CRMs remind the salesperson about tasks, email sequencers send series of messages, and Sellizer sends follow-ups tied to a proposal you sent, based on whether and how the client read it.

Are follow-ups sent from my own email address?

Yes. You connect your Google or Microsoft account, or another mailbox by its server settings, and the follow-ups go out from that address, so replies come straight to your inbox.

How do I stop a follow-up scenario?

Stop it for a single proposal in the Actions column of the proposal list. A scenario also stops when you change the proposal status to won or lost, when its conditions are met, and after 365 days at most.

Which Sellizer plans include automatic follow-ups?

Both Solo and Team include automatic follow-ups (pricing page, October 2026). You can try them for 14 days without a credit card.
